    Symptom

    Note that there are some restrictions when you enter customer returns for material BOMs or for sales sets (only SAP Retail) in Advanced Returns Management.

    Reason and Prerequisites

    Advanced Returns Management for customer returns focuses on the return of material goods with the current scope of functionality. Therefore, the program logic specifies that a returns delivery and a goods receipt are expected for a returns order item. A reimbursement must also be determined for each returns order item. (The only exception is a return delivery of the returned material to customers in the case of unplanned returns.) Furthermore, returns order items are treated separately in principle.
    Due to the focus on material goods, items for service materials (or text items) are not to be entered. (An exception to the rule is the entry of a delivery-relevant text item in conjunction with the logistical follow-up action 0009 (Delivery into Plant - Materials Still Unknown) for a returns scenario in which the return of materials that are not specified is to be initiated.)

    Considering these points, restrictions arise for material BOMs, sales sets, and equally for batch split items in two ways. On the one hand, in the user interface of transactions developed especially for Advanced Returns Management (material inspection, reimbursement determination, returns overview) logical requirements that aim at a returns item link (compound display, copying entries from header to components, and so on) are ignored and corresponding functions are therefore not implemented. Furthermore, the flexibility based on the Customizing settings of the item categories in question cannot be transferred to the customer return (returns order) in the handling of material BOMs or sales sets in sales (that is, in the sales order) - this allows, for example, pricing to take place for the material BOM header (sales set); however, inventory management is carried out at component level. Keep this restriction in mind especially during the transfer of data from a preceding document or a reference document (sales order or billing document) to the returns order within the scope of the copy control. As a result of this restriction, the system does not support the creation of a customer return (returns order) without reference to a reference document for material BOMs or sales sets when the BOM is exploded simultaneously.
    For the same reason (no link to various returns items), the following operation cannot be supported for batch split items: You create a returns order and a returns delivery is created automatically in the background. Before the goods receipt is posted manually, you change the delivery and create a batch split for the material to be returned.

    Solution

    For the batch split, you create a customer-defined item per batch in the returns order.
    In Advanced Returns Management, the customer return for material BOMs or for sales sets is possible taking into account the restriction described below. Here, the returns process must be carried out for the material BOM (sales set) either as a whole or in isolation for the components; that is, separated from the material BOM header (sales set). The first option requires that inventory management has been set for the material BOM (sales set). The second option becomes necessary in particular if the returned quantities for the components do not match the quantities in the BOM or if different logistical follow-up actions are to be defined for the components within the scope of the material inspection due to a different material status.
    You can distinguish between the following cases for the customer return in view of the preceding sales order:
    1. 1. Pricing, inventory management, and delivery processing are carried out for the material BOM (sales set), for example, when the item category group ERLA is used in the material master record of the material BOM header.
    If you have set a BOM explosion for the item category of the material BOM (sales set) (see "Structure scope" field for the item category in Customizing for sales and distribution), the system displays the items for the components below the main item. In this case, the components are not relevant for pricing (see "Pricing" field for the item category), they are not delivery-relevant (see "Relevant for picking" indicator for the item category in shipping Customizing), and they are not relevant for inventory management (a movement type is not specified for inventory management in the schedule line category assigned to the item category).

    In this case, where the material BOM (sales set) can be seen as a type of sales unit, the return can also be carried out for the material BOM (sales set) as a whole. If no BOM explosion is set in the sales order, the material BOM (sales set) transfer from reference document to returns order must be carried out just like the transfer of an individual material. The material BOM (sales set) is then treated as an individual material in the subsequent returns process also. If a BOM explosion is set in the customer order, then you must prevent the transfer of items for the components from reference document to returns order either by not setting any copy control for the components in Customizing or by choosing a copying requirement in the copy control (for example, copying requirement 302 "Do not copy item") that prevents the transfer.

    If, for example, because the quantities returned differ from the component quantities in the BOM, a components return is still to be carried out, then you can proceed differently (as described in case 3).
    1. 2. Pricing, inventory management, and delivery processing are carried out for the components of a material BOM (sales set), for example, when the item category group LUMF is used in the material master record of the material BOM header.
    In this case, the material BOM (sales set) serves only as type of compound of individual materials, for example, to simplify data input. The individual materials (now components of the material BOM) are therefore the actual sales objects. A BOM explosion is set for the item category of the material BOM (sales set) in order to display the prices of the components and to be able to carry out delivery processing.

    The return is also only useful for the components in this case of a material BOM (sales set). You notice in this case that frequently the complete material BOM (complete sales set) is not returned; instead, only individual components are returned (partly with differing quantities than the BOM).

    The return of components means that the components for the return must be separated from the material BOM header (sales set). Note two program-technical restrictions in this regard: On the one hand, you cannot select the components individually when creating the returns order with reference in the item selection. Therefore, the entire material BOM (entire sales set) must first be transferred to the returns order. Furthermore, separation can be carried out only manually in the returns order at present; it cannot be carried out automatically during the data transfer from the reference document. This is because the system checks whether the (previously transferred) material BOM header (sales set) exists when copying the component items to the returns order. Carry out the separation in the returns order as follows: Delete the item number of the related material BOM header (sales set) in the column "HgLvIt" (Higher-Level Item in BOM Structures) for the component items. Then delete the item of the material BOM header (sales set) that can no longer be processed further within the scope of Advanced Returns Management. However, the components can be treated as individual materials after the separation. You can make, for example, required quantity changes or carry out inspection splits for the components at a later date.
    1. 3. Pricing is carried out for the material BOM header; inventory management and delivery processing are carried out for the components.
    This case occurs especially if a particular (usually better) price is to be offered for a group of materials, or additional services (assembly, for example) are sold with the materials. However, as in case 2, the actual sales objects are the individual materials. Therefore, you also notice in this case that frequently the complete material BOM (sales set) is not returned; instead, only individual components are returned.

    Therefore, the return for the components is usually carried out. Only in cases where the material BOM (sales set) is returned completey, can a return for the material BOM (sales set) be considered as a whole in the same way as case 1.

    For a return at component level, note in this case that pricing must be completed for the returned components. There are two options here. You can specify in the copy control using an appropriate pricing type ("B" for example) that pricing is to be carried during the data transfer from the reference document to the returns order. However, you can also set a data transfer without pricing. The system then carries this out automatically at this point if you delete the item number of the material BOM (sales set) in the column "HgLvIt". This is also displayed in a dialog box for you.

    Determining the component price in pricing to be completed should usually be carried out taking into account the total price of the material BOM (sales set) from the reference document. Pricing must be set appropriately for this. For example, you can determine a manual net price using a manual condition type in conjunction with a formula that calculates the component price from the proportionate costs of the component to the entire BOM costs.

    If the system carries out a return for the material BOM (sales set) as a whole, exclude (as described for case 1) the transfer of components. Bear in mind that the item category for the material BOM (sales set) must be relevant for picking and a movement type (inventory management) is specified in the assigned schedule line category.
